Summary
The Office Coordinator is responsible for the coordination of phone calls into the department and the paging of patients to therapist
in a timely manner. This person will need to have the ability to schedule appointments for single and multidiscipline patients by
diagnosis and discipline (PT/OT/ST) in the PHS Scheduling System. Ability to register patients in the AS400 system and be capable
of interpreting insurance information to our patients. Have the ability to enter daily charges for all of PM&R Outpatient areas in an
accurate and timely manner. Excellent customer services skills and critical thinking are a necessity in the scope of daily activities.


Essential Duties and Responsibilities

Customer Service - Ability to address multiple customers (i.e. patients, families, co-workers, physicians, etc.) using the House Rules to meet needs of person. Courteous behaviors and polite approach will be presented during all interactions. Behaviors will be observed during face to face and phone interactions.

Scheduling - Responsible for scheduling referrals and recurring appointments for single and multidiscipline patients in a timely
manner. Referrals are scheduled by diaganosis and discipline (PT/OT/ST) to diagnositic teams based on physician referral and
prescription.
Taking cancellations and making sure they are documented in the Pathway Healthcare Scheduling System (PHS) and making sure
appropriate therapist are notified.
Responsible for making scheduling changes within P.H.S. system to include; patient and therapist changes and cancellations.
Registration - Registration or validation of information for all initial patients at time of arrival in Outpatient Rehab.
Ability to interpret insurance information to the patient in a manner that they can understand the coverage of benefits for services
being rendered in PM&R. Check that patient has arrived with correct prescription to include a diagnosis for therapy to be received.
Make necessary calls to physicians as appropriate when prescription is not available. Assembly of patient chart.
ABN - Ability to use the compliance checker to check medical necessity of services for medicare patients. Ability to interpret denials
to the patient in an informed manner. File all corresponding paperwork to the appropriate parties.
Demonstrates appropriate knowledge of Rehab Programs to respond to customer needs.
Recognize potential financial complications for the patient and facilitate referral to appropriate resources.
Charges - Ability to enter daily charges in an accurate and timely manner.
Phone - Answer all incoming calls into the department in a timely manner (within 3 rings) with proper telephone etiquette.
Coordinates all phone calls, patient arrival and inquires, notifying therapist of the arrival of their patients.
Medical Records - Maintain medical records to include filing, mailing of progress notes, faxing of discharged patients notes to
appropriate parties. Preparation of medical records for discharge and scanning into the CIS System.
Pre-Certification - conducts preadmission cert. and assures needs are met for all commercial insurance, workers comp, and other
third party payor with ICD-9 codes.
Maintains communication with BWC; retrieval of claim number and status of claims, approval for therapy visits from the MCO.
Ability to retrieve information from the BWC Dolphin site to include: approved C-9, claim status, allowed cond. of claims, etc.
Obtain letters of Medical Necessity from physician offices as insurance companies dictate for authorization of tx.
Obtain physician orders and insure order is complete and accurate prior to pt. arrival
Obtains all benefit info. from commercial insurance and authorization for tx.
Responsible for entering of all commercial insurance, workers comp, or other third party payor sources and authorization
information into the AS400 in Notes.
Ability to maintain practitioner schedules/blocks in PHS sched. data base.
Tally weekly PI stats and runs weekly and quarterly reports.
Compiles daily a list of evaluations completed and tracks return of singed evaluation from physician offices, f/u as necessary with
physician's office on unreturned evaluations.
Preparation of medical records for scanning into the CIS system on a monthly basis.
Initiates phone calls to patients scheduled for evaluations to remind them of appointments.
Attends meetings, makes suggestions, brings new ideas to the table, participates on task teams. Meets productivity levels
established by administration and manager of each program. Participate in Department PI initiatives.

Qualifications:

High School Diploma or GED Required

1-3 years related experience and/or training or equivalent combination of education and experience.
