Provides overall administrative direction and support for the Assistant Dean and Program Director and manages the academic office of UGME in Lima.Develops process and conducts internal management and review of quality, policy, and accreditation documentation and functions as a liaison with affected staff and LCME site visits. In collaboration with department leadership, ensures LCME regulations, hospital, and institutional compliance including appropriate submission of status letters, progress reports, or other letters that maintain accreditation requirements. Coordinates internal quality audits/mock site visits of UGME program to ensure initial and continued accreditation compliance. Manages the informational technology development and maintenance of various databases to ensure overall compliance with accreditation standards and enrollment management support for UGME program. Will manage the day-to-day aspects of OSU Community Care Undergraduate Medical Education (UGME) program in collaboration with the Program Director(s) (PD).

  • Assists program director and faculty in the development of curriculum, including integration and evaluation of core competencies into all educational activities.
  • Drives advancement of Lima medical education program institutional accreditation through development of informational technology systems to ensure oversight of institutional and program accreditation(s), maintenance of institutional and program accreditation, and if necessary, tracking program citation progress.  Establish and maintain accreditation oversight through development and management of processes and monitoring of outcomes, trends, and opportunities.
  • Develops and conducts quality assurance audits to ensure accurate and complete records for all programs.  Gathers and maintains records for credentialing, and reimbursement.  Maintains confidential resident files and database records. 
  • Manages payment of invoices, educational stipends, and preparation of annual budget related to the training programs.
  • Responsible for the organization and management of student rotation schedules, assignment of preceptors, and completion of performance evaluations and program related activities.  Coordinates and organizes program wide events such as welcomes, graduations, celebrations, and off-site events.
  • Coordinates and prepares meeting agendas, documents, and records meeting minutes for program committees as assigned.
  • Manages, updates and distributes program policies, competency-based rotation goals and objectives, manuals/handbooks, rotation and on-call schedules, didactics for students.
  • Manages and oversees event management for faculty speaking engagements including vendor/venue relationships, budget/invoice/payment collection, marketing and creating additional opportunities.
  • Serves as a representative and liaison for the UGME program in cooperative efforts with the faculty, other specialty departments, outside institutions, College of Medicine Administration, College of Medicine Medical Education, CME Administration Office, Medical Staff Office, and others as directed.
  • Engages in life-long learning by taking courses that further professional growth, knowledge, and expertise to enhance program administrator skills.  Attend at least one professional development meeting per year.

Required Education- Bachelor's Degree

Preferred Education- Master's Degree

Minimum Qualifications

Minimum Years and Type of Experience

  • Three years in planning/ administration of an academic program in a management capacity, preferably in higher education

Other Knowledge, Skills and Abilities Required

  • Knowledge of medical education requirements, curriculum standards, clinical skills training and accreditation requirements.

Other Knowledge, Skills and Abilities Preferred

  • Experience with hands-on clinical training, including human patient simulators and standardized patient programs. Experience with budget management.
