SUMMARY:        

Performs secretarial and administrative assistance to Behavioral Health Institute. This includes handling sensitive reports, files, and matters of a highly confidential nature.  Performs various office responsibilities to include but not limited to:  completion of policy & procedures, meeting minutes, memos etc., and assists the leadership team with compilation of data, P.I. appointment/scheduling and maintaining the administrative office functions and acts as a liaison person to the Behavioral Health Institute.

  • Requires full range of body motion including handling and lifting patient, manual and finger dexterity, and eye-hand  coordination.

  • Frequently lifts and carries items weighing up to 100 pounds (with assistance). Requires corrected vision and hearing to normal range.
  • Requires working under stressful conditions and irregular hours. Exposure to communicable diseases and/or body fluids.

EDUCATION and EXPERIENCE: Associate's degree (A.A.)  preferred or equivalent from two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.

  • Must be able to type 50-60 words per minute.
  • Must be proficient in Microsoft Office (Word, Excel, Access, PowerPoint).
  • Excellent telephone and customer service skills and organizational skills.  Knowledge of chemical dependency and mental health is preferred.

Special physical requirements: Sits and stands throughout the day. Physical management of patients in crisis situation may be necessary.

Required Job Specific Training:  De-Escalation training within 90 days of hire.

KEY JOB RESPONSIBILITIES: (not all-inclusive)

  • Participates in administrative meetings and committees (staff meetings, quality improvement, patient satisfaction, employee engagement, etc.) to exchange information that relates to program updates, identify program barriers and anticipate future program needs in accordance with appropriate accreditation standards and within facility policies.
  • Aid clinical managers with preparation for State surveys (ODMHAS, JC)
  • Completes the time and attendance function in the computer system for Behavioral Health Institute.
  • Routinely update policies and procedures in conjunction with the Behavioral Health Institute Home Office Leadership Team Handles confidential and special project correspondence Assists with special projects and assignments in a timely manner Assists other team members with tasks and activities to the extent that they do not interfere with essential functions Interface with Psychiatrists and Psychologists in the Behavioral Health Institute. This includes intermittent computer work, scheduling appointments, and daily interaction.
  • Schedules appointments for Partial Hospitalization and Intensive Outpatient Program Supports Behavioral Health education process by ordering supplies, assisting with participant registration, and classroom scheduling/setup.
  • Prepares and assembles graphical information needed for program evaluation of all Behavioral Health Institute and outside contracts and distributes to appropriate personnel Schedules rooms, prepares and assembles reminder notices, agendas and graphical information needed for subcommittee meetings.
  • Assist with annual training events as needed Prepares statistical data and various requested reports utilizing Excel Reads and routes incoming mail, distributes mail to upper management and executives Orders supplies, books, educational material etc.
  • Answers telephone and gives information to callers or routes call to appropriate official and places outgoing calls.

  • The Behavioral Health Services Coordinator maintains office duties (including typing, filing, faxing, copying, and answering phones) for the Behavioral Health Institute. 
  • The coordinator will coordinates departmental meetings, setting times and room appointments as well as composes correspondence, reports, memos and meeting minutes on the behalf of the Behavioral Health Institute.
  • The coordinator will assist with logistics support, act as a liaison person, schedule appointments and maintain calendars for, and will effectively communicate with co-workers, physicians, and patients when necessary.
